Terms + conditions to your hire.

Personal Belongings

Please refrain from using any of the Owner’s personal items stored in cupboards, drawers, or wardrobes unless you have received written approval in advance.

Access & Entry

Only individuals listed in the Hirer’s confirmed Cast and Crew (as per the confirmation email) may access the property during the hire period. Entry by anyone outside this group must be pre-approved in writing by both the Hirer and the Owner.

The Owner will ensure the property is clean and presentable prior to the booking date.

Permits, Restrictions & Compliance

The Hirer is responsible for obtaining any required permits, licenses, or consents from councils or other authorities and for complying fully with their terms and conditions.

The Hirer must adhere to all local regulations, including noise control and activity restrictions. Please ensure minimal disturbance to neighbours in terms of noise, lighting, and general activity.

Furniture Use & Damage Responsibility

Furniture may not be moved without prior approval from the Owner. If permitted, all furniture must be carefully lifted (not dragged) and returned to its original position by the end of the hire period. Floors and walls must be protected during any repositioning.

The Hirer is fully responsible for any damage caused during the hire. If damage occurs, the Owner will notify the Hirer in writing within 24 hours of the hire completion. The Hirer agrees to cover the cost of repairs to affected areas or furniture.

The Owner will obtain three quotes for any necessary repairs. The Hirer agrees to reimburse the Owner for the actual, reasonable costs of those repairs within 14 days of receiving a valid tax invoice (or another timeframe agreed upon in writing).

House Rules & Guidelines

The Kotahi House is a space designed with care and intention. We ask that you honour the following guidelines to help us preserve its beauty and functionality:

Time Management

  • Your hire begins and ends strictly at the agreed time.

  • All setup, pack-down, cleaning, and resetting must occur within your hire window.

  • Overtime charges apply unless otherwise arranged.

Cancellations & Rescheduling

  • Full payment is required to confirm your booking.

  • Cancellations made within 30 days of your booking are non-refundable but eligible for a credit note valid for 90 days.

  • Cancellations within 48 hours are non-refundable and not eligible for credit.

  • The Location Director reserves the right to cancel a booking at their discretion; in such cases, a full refund will be issued.

General House Etiquette

  • No pets allowed onsite unless agreed upon in advance. (Please note: the resident cat will be kept in a separate room and is generally undisturbed.)

  • No smoking anywhere on the premises.

  • No alcohol unless explicitly approved prior.

  • No heels to be worn indoors unless part of the shoot. Heels must have intact plastic tips; shoes with exposed metal tips will not be permitted and any damage to our floors you will be invoiced for repair. Shoes must be clean or removed upon entry.

  • Do not drag furniture; large items require two people to move safely.

  • Do not move the dining table.

  • Keep music volume respectful for our neighbours.

  • Dispose of waste appropriately – small waste goes in the kitchen bin; large items in the outdoor wheelie bins.

  • All furniture and props must be returned to their original place before departure.

  • Children/minors must be supervised at all times.

  • Report any damage immediately – including accidents involving furniture, props, fittings, or equipment.
